Staff Rules

  • Always strive to adhere to the HT Conduct Guidelines.
  • Always strive to conform to HT Game Policy.
  • In addition, always strive to conform to SW Area Policies.
  • The staff channel is to be used exclusively for staff business. Area staff is not a clique: taking a staff position is not an admittance into a 'popular kids' crowd, it's a job. Treat it that way.
  • Speak to players the way you want to be spoken to. A staff position is not a platform for being a bully: if a player is making you miserable enough that you're struggling to stay civil or tempted to abuse your authority, please call for reinforcements from another staffer, or ask to take a break!
  • At the same time, don't lie to players to avoid having to tell them 'no'! We expect our players to be mature adults here: if someone wants something or is doing something you know won't be acceptable, talking to them plainly will end better than dissembling or beating around the bush.
  • Keep your fellow staffers abreast of your staff activities. This is especially important in the case of disciplinary situations, where player warnings should be noted to *Southern Weyr Staff. (If possible, log it!)
  • Unless otherwise stated, you have 72 hours to get back to your fellow staffers re: 'majority rules' decisions. If you do not, your fellow staffers have the right to mark your vote an abstention and carry on with business. If this happens over and over, your fellow staffers have the right ask the wizards to reopen your slot for a new staff volunteer.
  • Inform area staff if you know you're going to have an absence of a week or more. If you're absent for more than a month, your fellow staffers have the right to ask the wizards to reopen your slot for a new staff volunteer.

Above all, treat our players as you would treat a colleague at work, a fellow student at school, or your neighbor. Just because we connect with alternate names on a platform that allows anonymity does not mean that we should treat the people we engage with as lesser than the people we engage with in our real life.

Staff Procedures

Southern divides staffing situations up into three basic categories:

  • Staffing decisions that can be made individually
  • Staffing decisions that require a simple majority
    • Note in case of abstentions: if a vote is a tie, it defaults to 'no'.
  • Staffing decisions that require a unanimous agreement
    • Note in case of abstentions: if a vote is a tie, it defaults to 'no'.

Solo Decisions

  • Admitting a new non-ranking, non-insta character to the area.
  • Giving players first and second warnings for policy or conduct violations.
  • Fixing broken code, descriptions, general wiki upkeep, etc.
  • Vetting minor TPs for area appropriateness.

Simple Majority Decisions

  • Admitting instas to the area.
  • Promoting or stripping characters of all ranks excepting those noted in the unanimous agreement section (see below).
  • Adding new rooms to the area (after initial development is complete).
  • Giving players final warnings for policy or conduct violations.
  • Vetting major TPs for area appropriateness.

Unanimous Agreement Decisions

  • Area policy changes.
  • Decisions in regards to players who are a constant constraint on Staff's time: e.g., if there's a problem player who consistently has issues, it becomes an issue that all of Staff must agree on in terms of how to deal with them per area escalation policies.
  • Promoting or stripping characters of: Weyrwoman, Weyrleader, Weyrlingmaster, Weyrsecond.

Changing of the Guard

Next Turnover Scheduled: April 1, 2024.

Southern's Staff adheres to what HT voted for: No more than 5 members, with Staff's expected tenure to be a six month engagement from the time of volunteering. Terms are typically:

  • April 1st - September 30th
  • October 1st - March 30th

Formal Staff Turnover

  • Two weeks prior to Turnover Date:
    • Call for interest in staff on *sw
    • Direct existing staff members to send mails indicating interest if applicable.
  • One week prior to Turnover Date:
    • Close staff call.
    • Tally all of the interest and do initial checks; anyone with less than four scenes a month automatically disqualified from staff unless there are extenuating situations:
      • Should staff receive an application when staff maximum has not been exceeded by eligible applicants, discretion is permissible in certain situations:
        • If the applying character is less than three months old per 'vet', existing staff may execute discretion to find that character's staff application eligible so long as the character has served at least two-thirds of the required time (two months) active by current activity standards, and the player has previous or currently active characters to fill the remaining month.
        • Staff may utilize discretion in case-by-case basis to allow probationary staffing, but in the above case and in all cases, staff members must remain active to stay on staff.
    • Pick three to five eligible candidates.
    • If there are more than five candidates for staff, the candidate pool must decide among themselves as to who is presented as the new members of Staff. This can be done several ways:
      • Staff candidates can withdraw
      • Staff candidates can come to a mutual decision on who is elected
      • Staff candidates can open up an area vote
  • One day prior to Turnover Day:
    • Close any area votes if applicable
    • Send announcement with new/updated staff members
    • Update the staff members page on the wiki.
    • Update the turnover page on the wiki with the new date.
    • Update the activity tracker on the wiki with the new members.
    • The Old Staff's last Contribution is to ensure that the new Staff adheres to the activity policies. (This is a second activity check, just to make sure that activity policies are honored.)

Mid-Tenure Staff Resignation / Interim Staff Selection

In the event that someone resigns from staff in the middle of a six-month tenure, the previous policy will be used in filling the missing slot if it is felt necessary to replace that member.

  • Member Resigns.
  • Day of Member Resignation:
    • Call for interest in staff on *sws
  • One Week Post Member Resignation:
    • Close staff call.
    • Existing Staff Ensures that all Candidates meet the activity requirement, alerting any who don't that they are not eligible for Staff
    • The Eligible Candidate pool must decide among themselves as to who is presented as the new members of Staff. This can be done several ways:
      • Staff Candidates can withdraw
      • Staff Candidates can come to a mutual decision on who is elected
      • Staff Candidates can open up an Staff-Wide Vote
      • Staff Candidates can open up an Area-Wide Vote
  • Two Weeks Post Member Resignation
    • Close any area votes if applicable
    • Send announcement with new/updated staff members
    • Have new staff members pick a Game Staff rep if the Member that Resigned was one of the Game Staff reps.

It is important to note here that this Staff member's tenure is only as long as the remainder of the Staff Cycle. Staff Turnover potentially reshuffles all of Southern Weyr's Staff positions. The new member can, of course, re-apply so long as they meet the activity requirement!
